Job Summary The Safety Compliance Supervisor is responsible for ensuring the safety and compliance of our workplace through a variety of tasks and responsibilities. You will oversee a range of activities including roadside inspections, Luma training, managing driver listings, maintaining compliance with the SAP program, handling Data Qs, DOT inspections, quarterly maintenance, random drug screens, Certedrive administration, MRO clearance for driver injuries, employee discussion forms, Idelic templates, setting up new certificates of insurance, qualifying pro drivers, managing Owner Operator helpers, assisting with driver recruiting, generating daily reports, requalifying previous drivers, participating in safety review committees, resolving issues with EFS fuel cards, setting up administrative users for various systems, assisting with upper management requests, issuing paper log codes, and providing assistance with driver onboarding and Samsara compliance. Responsibilities • Roadside Inspections: Assigning training, pulling scorecards, reviewing ELD logs, and ensuring compliance with state regulations. Sending necessary documentation back to the state, retrieving proof of repairs, and managing discussion forms. • Luma Training: Creating monthly safety training presentations and assigning them to all drivers. Assigning additional training based on failed inspections or violations. Managing user accounts and providing support to drivers. • Driver Listings: Composing and maintaining an accurate and up-to-date listing of active drivers, including Owner Operators, Power Seats, and Company drivers. • SAP Program Drivers: Ensuring compliance with the SAP program by maintaining proper documentation and conducting required drug testing. • Data Q's: Entering and challenging any violations that can be challenged. Requesting roadside inspections through the Data Q portal when unable to obtain them from the driver. • DOT Inspections: Keeping track of annual Federal DOT inspections for Owner Operator units. • Quarterly Maintenance: Managing quarterly maintenance for all Owner Operators. • Random Drug Screens: Setting up quarterly random drug screenings, coordinating with terminals, and managing all related paperwork and results. • Certedrive: Setting up new admins, training staff on driver authorization processes, and addressing any discrepancies or pending drug tests. • MRO Clearance for Injuries: Coordinating return-to-work processes for drivers, including assigning required tests and ultimately clearing them for work. Implementing new out-of-service procedures for injuries and return to work. • Employee Discussion Forms: Managing requests for employee, IC, and Power Seat discussion forms. Uploading forms to Tenstreet and sending them to HR. • Idelic Templates: Creating employee load and DOT expiration templates to be uploaded to Idelic for adding new drivers and their certifications. • Insurance Certificates: Setting up new certificates of insurance for Owner Operators with new rentals. Managing information in the Insurance CBA system and ensuring proper coverage for units. • Qualifying Pro Drivers: Requesting and managing all necessary documentation for qualifying Pro Drivers, including road tests and Luma training. • Owner Operator Helpers: Tracking Owner Operator Helpers and managing required background reports every 6 months. • Driver Recruiting Assistance: Providing support and assistance to the Driver Recruiting team as needed. • Daily Reporting: Generating reports for Qorta and Vigillo to update terminals and upper management on safety-related matters. • Requalification of Previous Drivers: Providing information to the VP, Manager, and HR for previously employed drivers seeking to rejoin the company. Making approval or disqualification decisions on the safety side. • Safety Review Committee: Running new Motor Vehicle Records and compiling information for safety reviews. • EFS Fuel Cards: Dealing with discrepancies, rejections, and errors related to EFS fuel cards. Activating and deactivating cards as necessary. • System Administration: Setting up new administrative users in Tenstreet, Luma, Certedrive, Samsara, and other systems. • Assisting Upper Management: Supporting upper management by fulfilling requests and providing assistance to terminals with inquiries and questions. • Paper Log Codes: Managing the issuance of paper log codes to drivers who need them for vehicles without ELD equipment. Maintaining a log of codes and reasons. • Driver Onboarding Assistance: Providing support and assistance with driver onboarding processes when a colleague is absent or requires assistance. • Samsara Compliance Assistance: Supporting Samsara compliance processes when a colleague is absent or requires assistance. Qualifications • Bachelor's degree in occupational health and safety, transportation, or a related field. • Proven experience in safety compliance, preferably in the transportation industry. • Strong knowledge of DOT regulations and compliance requirements. • Familiarity with systems such as Tenstreet, Luma, Certedrive, and Samsara. • Excellent organizational and time management skills. • Strong attention to detail and ability to multitask. • Effective communication and interpersonal skills. • Ability to work independently and collaboratively. • Relevant certifications and training in occupational health and safety are preferred.
