Responsibility

Implement global administrative tasks, develop global plans to effectively drive process improvement and efficiency within the global RES team. Ensure smooth running of business processes; identify, recommend and implement improved ways of working and meet administrative needs in line with business needs, stakeholder requirements, Group guidelines and policies. Develop plans and deliver critical and complex board department and/ or cross divisional projects and initiatives. Coordinate and prepare for meetings of the Group board of management, the supervisory board, steering committees and/ or corresponding committees in close cooperation with the staff of these committees/ boards/ departments. Prepare plans and take steps to achieve coordinated cooperation at the board department/ division/ Group at all levels. Design and formulate concept and content of highly complex decision papers and presentations. Analyze extensively and make recommendations for critical or high impact decisions. Define and develop quality standards and process improvement in the relevant board/ department/ division. Deploy best practices, suggest modifications and improvements in global RES processes and systems to increase effectiveness and efficiency. Develop best administrative practices for RES regional admins and lead RES admin community. Provide support on issues and problems from less experienced/ new team members, provide direction and guidance as needed. Organizes large-scale multi-day events (e.g., RES global conference, Investor days). Plan the RES communications calendar using various media and platforms (e.g., Town Halls, Teams channels, videos, social media), plan and develop content with input from global and regional teams, track engagement. SharePoint (RES main document & data mgmt. Maintain and ensure consistent structures and use across regions, keep content up to date and regular to promote engagement(e.g., presentations, groundbreaking announcements). Develop, administer, and regularly update new joiner onboarding plans and materials. Work with RES leadership and line managers to develop 90 day plans for onboarding new RES members and project manage the 90 day plan (incl. onboarding trainings, meeting key stakeholders, understanding processes, integration into RES communities). Support best practice sharing across RES Communities, help create agendas, facilitate community meetings, and build infrastructure to support collaboration (e.g., SharePoint site and Teams channel, find and share industry or DHL-relevant articles to share, new softwares to support that community’s work). Projects will evolve. Keep minutes and follow-up on actions from key RES global meetings and RES board meetings.
