Responsibility

This is a critical role within our company, responsible for overseeing and optimizing the customer experience and logistics processes. This role ensures the seamless management of incoming leads, material orders, supply chain, insurance supplements, and invoicing, all while maintaining high levels of customer satisfaction and operational efficiency. The manager leads a team, manages key metrics, and leverages the EOS (Entrepreneurial Operating System) to drive performance and accountability. Lead and Manage Direct Reports:. Team Leadership: Provide clear direction and leadership to direct reports, including customer service representatives and logistics coordinators. Inspire and motivate the team to achieve their best performance. Accountability: Set individual and team goals, monitor progress, and ensure accountability for meeting performance standards. Training and Development: Identify training needs, develop training programs, and facilitate ongoing professional development to enhance team skills and knowledge. Cost Management: Oversee and manage the cost of materials, labor, and other operational expenses to ensure that profit margins are maintained. This is done through supplemental invoices, sub contractor cost and more. Profit Margin Reporting: Oversee and manage the overall profit for all jobs as well as individual categories. Track these on a weekly, monthly and quarterly basis. Strategize with other team leads/members on how to maintain/improve the profit margins over time as new barriers present themselves. Optimize Time to Produce:. Process Improvement: Analyze and refine workflows and processes to reduce production time and enhance efficiency. Project Scheduling: Coordinate project timelines and scheduling to ensure timely completion and minimize delays. Scheduling logistics to ensure that travel time between job sites can be minimized. Work hand in hand with the production manager to ensure crews are onboarded in a timely manner in accordance with lead times on scheduling. Reporting and Data Analysis:. Report Generation: Create and maintain accurate reports on key performance indicators (KPIs), including lead conversion rates, production times, and customer satisfaction metrics. Data Utilization: Use data and insights from reports to make informed decisions, identify trends, and address any areas of concern or opportunity for improvement. Feedback Collection: Implement systems to gather customer feedback through surveys, reviews, and direct interactions. Issue Resolution: Develop and oversee processes for promptly addressing and resolving customer complaints or issues to ensure high levels of satisfaction. Oversee Accounts Receivable:. Invoice Management: Ensure accurate and timely invoicing of homeowners, including verification of charges and resolution of discrepancies. Collections: Monitor accounts receivable, follow up on overdue payments, and implement strategies to improve cash flow and reduce outstanding receivables. Lead Tracking: Utilize CRM systems to manage and track incoming leads, response time to website request forms, eliminating missed calls, etc. Conversion Strategies: Develop and implement strategies to convert leads into customers, working closely with the sales team to align on approach and tactics
