Responsibility

Answer phones and direct all incoming calls to the appropriate party promptly and efficiently, and take accurate messages when needed. Pick up, open, sort, and distribute incoming mail and packages to staff. Perform general office duties, such as ordering supplies. Provide clerical support to the plant. Obtain and maintain Notary designation. Assists operations and maintenance with tracking critical data and provides reports. Oversee office functions and ensure that the area operates smoothly with minimal errors or interruptions. Office Manager- supplies, ordering, managing office services. Manage office records according to established retention guidelines. Technical and IT Support:. Provide JDE and Ultipro support to the plant. Complete and provide support for Concur expense reports. Complete all check requests and payments to local organizations for contributions that are allocated. Provide support to local community functions or outreach events. Perform HR duties including (but not limited to) benefits presentations, annual/new hire/changes benefits paperwork, onboarding new employees (including all new employee paperwork), termination paperwork for employees, maintaining and creating personnel files, arranging for pre-employment appointments at clinic, preparing information for submitting for background checks, submitting all proper documents to corporate HR in a timely fashion. Answer employee (and spouse) HR and Benefits questions, giving them further information and contacts when needed. Review for accuracy the completion of Kronos time sheets by supervisors each week for payroll. Maintain plant personnel emergency contact information. Refer any retirement issue to related corporate responsibility. Manage Union seniority information, coordinate union questions, and pay union dues. Manage reimbursement programs for Union employees regarding boot and eyeglasses. Administrator of Plant Attendance Program; maintain documentation, track point system. Administrator of Plant Daily Operating files. Archiving, and modifying all electronic files. Provide support in Capital projects. Creating requisitions, tracking costs, and assisting in cost review. Liaison between Plant Manager and Corporate Accountant. Assist the Plant Manager and Corporate accountant in preparing annual budget. Accounts Payable; Troubleshooting any inaccuracy of invoices and responding to requests from AP team. Receiving: Verifying accounts, taxability, ensuring proper sign-offs. Lead in managing Plant feed shipments invoicing- Verifying pricing, volume accuracy. Following up on resolving errors with vendors. Perform check requests as needed. Post Cycle count data for Operations and Warehouse. Create and distribute summary month-end accounting files. Ensure proper sign-off and recording by established timelines
