Responsibility

This team member is responsible to provide administrative and clerical services in order to ensure effective and efficient area operations, including responsibility for general clerical, receptionist, and project-based work. WORK SCHEDULE: 8 hour rotating shifts (Overtime as needed). Answer telephones and transfer to appropriate staff member, meet and greet clients and visitors, open sort and distribute incoming correspondence, including faxes and email. Construct/complete/input documents for area manager/operations manager/field supervisor/field administrator. Purchase order creation for the branch as instructed by the area manager. Vouchering of vendor invoices on a timely basis and submittal of batches to corporate AP for processing Reconciling vendor statements to verify invoices received and payment, resolves issues with vendors regarding invoice discrepancies, payment terms, late payment, etc. Assist with onboarding processes within the branch, assist with completion of new hire forms, data entry into WIN/Peoplesoft. Completion of data entry in WIN and other systems related to equipment/personnel certifications, trip and dispatch reports, IFTA, log books. Purchase all supplies as it relates to office equipment and general supply needs. P-card entry and reconciliation. Work with area admin staff to ensure the accurate payment of owner operators; verifying/reconciling owner operator statements. Provide necessary documentation/calculations/support to owner operators. Provide feedback to Field Admin, Area Managers and the billing group regarding improvements to data entry and the owner operator payment process. Investigate and communicate discrepancies in the owner operator payables Other Duties as Assigned
