Responsibility

Coordinate the day-to-day activities and operations of the Commercial Leadership team: including the Executive Vice President Commercial, VP Sales and VP Marketing. Manage complex and dynamic calendars. Manage all aspects of travel arrangements, such as booking, preparing travel itineraries, making changes as needed, and submitting expense reports. Prepare and process orders, invoices, and PO's. Coordinate meetings to include participant's travel, lodging, dining arrangements, and meeting space as needed. Screen incoming executive communication: phone calls, emails, mail, and visitors; route and resolve information requests. Attend meetings, transcribe meeting notes, update databases and records as needed. Provide administrative support for company-wide applications including but not limited to Zoom, Microsoft Office (Word, Powerpoint, Excel, Teams, Outlook), Concur (Accounting/ Expense reporting system), etc. Draft complex and/or confidential correspondence, handling confidential company materials with sensitivity and discretion. Edit documents and presentations as needed. Maintain and organize files, including duties relating to contracts management and ensuring organizational adherence to established workflow. Work in tandem with peer Executive Assistants to plan and execute company-wide activities and events. Sales Support and Coordination:. Maintain accurate and up-to-date employee field force rosters and distribution lists. Assist VP of Sales with monthly national sales calls (planning, coordination, and execution). Manage and organize sales-related files, documents and records, sales bulletins, and general communications. Act as a primary point of contact for the sales team, providing timely responses and resolutions to inquiries and issues. Support the sales team with travel arrangements, including booking accommodations and transportation. Schedule and coordinate meetings, conferences, and sales events. Organize and maintain sales documentation, contracts, and agreements. Assist in the preparation of sales presentations and proposals. Facilitate communication between the sales team and internal stakeholders, ensuring the smooth flow of information including cross-functional teams, such as marketing, market access, hub services, and supply chain, to ensure seamless execution of sales initiatives. Assist in the coordination of sales training programs and workshops. Participate in sales team meetings and provide administrative support during meetings
