Responsibility

The Catering & Convention Services Coordinator executes the catering and convention services strategy of the hotel, as defined by the Director of Catering. This includes assisting with client requests in a timely manner and efficiently handling all inquiries. The Catering & Convention Services Coordinator will assist with coordinating all conferences, meetings, group functions and group activities booked through the Sales Office. Duties included general administrative tasks, but not limited to, contracts, meeting room logistics, group rooming lists, and compiling/updating reports as needed. Deliver on the promise of Sonesta Service in all interactions with guests and clients. Manage according to the Sonesta G.U.E.S.T. standards and instill a passion for customer service in all associates of the hotel. Develop and maintain relationships with key clients. Execute directives from the hotel Director of Catering to effectively operate the Catering & Convention Services Office of the hotel. Communicate operational problems that impact the effectiveness of hotel performance. As needed, assist the client in menu planning, food and beverage coordination, table arrangements, decorations, traffic flow, room set-up, group room blocks and VIP services, etc. Report and communicate Meeting event needs between the client and hotel. Assist with preparing and distributing amenity request forms for specified clients. Obtain designated approvals and follow-up on delivery. Welcome group contact upon arrival and ensure guest satisfaction. Monitor and ensure all functions are set up, refreshed, and broken down in compliance with scheduled times and departmental procedures. Work in a timely manner to executive and distribute all Banquet Event Orders (BEO) and contracts as designated by sales. Perform other duties as assigned

QUALIFICATIONS AND REQUIREMENTS: • Previous background in Catering/Convention Services preferred. • Ability to speak, read, and write fluent English; other languages beneficial. • Professional verbal and written communication skills. • Mathematical skills, including basic math, budgeting, profit/loss concepts, percentages, and variances. • Problem solving, reasoning, motivating, organizational and training abilities. • Experience with Microsoft Office and Opera systems preferred. • Frequently standing up, bending, climbing, kneeling, and moving about the facility. • Carrying, lifting or pulling items weighing up to 25 pounds. • Frequently handling objects and equipment.
