Responsibility

You will be part of a team of administrators who support organization branches and project leads within the METC. You will work closely with project leads and senior management to assist the organization in in supporting operational processes, tracking training and certification requirements, planning and conducting meetings, record/maintain meeting minutes, support the planning and content of presentations, and coordinate amongst cross-functional teams. Collect and distribute mail/packages. Manage daily tasks, projects, and deadlines by maintaining a schedule to tracked items in the CONUS and OCONUS. Schedule the travel details such as itineraries, Visas, theater clearances, transportation, and accommodation arrangements (hotels and car rentals) in Microsoft (MS) Windows or a compatible database that is available to the Administration. Provide calendar management to include scheduling and coordinating events for multiple stakeholders. Provide support during management review meetings such as take minutes and capture action items, provide the final meeting minutes to all attendees, and will assist with action items status updates. Project meeting support, including agendas, meeting setup and logistics (including webinars and video conferences), capture minutes; track and manage action items, and prepare materials. Arrange meetings and conferences for the requested organization’s stakeholders. The administrator should have the required experience to provide support for all projects and administrative operations and activities which occur in different organizations. Support multiple organizations with high operational quality processes. Collaborate with the different Project Managers (PM) to obtain information on cross-functional duties. Assist and brief senior management stakeholders on important and relevant information. Maintain liaison with numerous support organizations such as personnel, resource management, and installation support activity. Create and produce moderate to complex documents including spreadsheets and presentations. Manage multiple tasks, projects, and deadlines; as well as assist with special projects. Provide support with email, important files, technical and non-technical documents documentation editing, change orders, information requests, letters, faxes, memorandums, suspense records, voicemails, project notes or instructions, meeting agendas, and other items as necessary. Create and manage projects and office schedules, dashboard updates, and prepare briefings and PowerPoint presentations. Manage daily tasks such as recording, and distributing information among clients, team members, and partners within CONUS and OCONUS. Collect, compile, analyze, and track information and action items in support of the projects and senior management. Provide property management and procurement services for the branch by assisting the organizational manager with assessment, procurement, and control of equipment/materials. Assist the organization by collecting, distributing, and analyzing information regarding costs, personnel, facility, and contracts. Manage employees’ personal records and prepare personnel documents; process personnel actions, training plans, document standards, and appraisals; data entry into web-based systems. Prepared to collect and analyze personnel information using the data collection tools available. Assist with on/off-boarding employees. Training: Admin will receive require training on how to process information management using the organization’s CMMI policies and procedures
