Responsibility
To provide receptionist / secretarial assistance to the Executive Director in such a way as to insure the effective operation of the Maintenance Department in all assigned responsibilities. Answer telephone and respond to inquiries. Dispatch communication to employees. Establish, maintain and update all information relating to new and existing personnel. Handle personnel needs such as insurance, paychecks, and vacation scheduling. Manage bookkeeping functions for payroll and department. Record and collect forms from absentees. Open and distribute mail. Issue purchase orders numbers. Sort, stamp, copy, and file invoices. Schedule appointments and maintain department calendar. Order supplies for the department supervisors. Manage distribution and submission of employee time cards. Maintain general files. Track and maintain information on site plans, portable buildings, and facilities book. Collect applications, arrange interviews, and collect data from new employees. Secure Facilities Management office at the end of the day. Perform other duties as assigned. Writing simple correspondence. Responding to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Interpreting a variety of instructions furnished in written, oral, diagram, or schedule form
