Responsibility

Answer and direct phone calls. Maintain a filing system. Provide general support to visitors and provide information by answering questions and requests. Maintain sign in sheet, NDA’s for visitors and provide required PPE. Set up new customers and update information as needed. Update customer pricing. Create and process all sales orders/invoices. Resolve discrepancies on customer invoices, issue credits, and communicate with customers on A/R issues. Monitor company emails and cross reference to invoices in ERP system. Posts journal entries to general ledger. Generates reports for Financial Controller. Assist Financial Controller with month end close. Allocates expenditures to correct accounts according to departmental procedures and reconcile. Code invoices from vendors in ERP system. Send remittance advice to vendors. Carry out administrative duties such as filing, typing, copying, scanning, etc. Handle sensitive information in a confidential manner. Receive, sort, and distribute the mail. Assist HR department with company events, employee birthdays, corporate luncheons, and updating bulletin boards. Special projects as needed. Any other reasonable duties as and when requested
