Responsibility

Under the general supervision of the HR Specialist, the Administrative Assistant is responsible for answering the phones, greeting, and assisting clients, providers, and guest, and filing paperwork/ documentation. Become the first point of contact in the building for our community through telephone or in-person interactions. Provides exemplary customer service in a friendly and professional manner. Greeting our community, providers, and clients and addressing the questions or concerns of the prospective. Creates a positive, comfortable, inviting experience for visitors by managing the office look and experience. Ensures that the office is kept clean, neat, and organized. Answers incoming telephone calls in a cheerful, energetic, and marketing-oriented way that determines the purpose of callers, so that they are forwarded to the appropriate personnel or department. Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable. Answers general questions about the agency and provides callers with address, directions, and other information and refers other specific questions to appropriate personnel. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Receives, sorts, and routes mail, and maintains / routes publications. Maintains copy and fax machines, assists users, sends faxes, and retrieves and routes incoming faxes. Creates and prints fax cover sheets, memos, correspondence, reports, and other documents as requested. Assist in the maintenance of client and employee files and documentation while maintaining confidentiality as required. Attends all required in-service trainings and staff meetings. Plan and attend all agency's events to promote agency outreach and mission statement to the community where involved. Performs other clerical duties as needed or assigned

Qualifications and Education Requirements • Must be 18 years of age. • Verify their capability to read, write and follow a written plan of care. • Demonstrate good interpersonal skills. • High School diploma or GED equivalent • Criminal Background check • Current Driver's License or ID Card Preferred Skills • Experience working with computers and software, such as Microsoft Word & Excel. • Experience entering data into a database system. • Experience providing customer service in-person & via telephone. • Experience handling confidential information.
